iGym – Terms and Conditions of Membership

Promotional offer

Following this promotional period, the membership fees will be frozen at this price until you are notified otherwise. If you fail a payment , freeze, or cancel your membership and wish to join again you will revert to paying the current full standard prices

Membership offer’s will be offered from time to time and will be subjected to additional terms and conditions.

All customers redeeming the offer are bound by the membership terms and conditions.

All customers redeeming the offer will be required to complete a health questionnaire, medical assessment and participate in a fitness suite induction.

Management has the right to remove, amend or extend this offer at any time.

No refunds are available once contracts have been signed.

A Pro-rata payment, plus cancellation fee will be taken from a new member when they join onto a promotional offer for their use of the membership before a full Direct Debit payment can be collected.

Membership offers

Direct debit discounted membership offers will remain valid unless you cancel, freeze, or miss direct debit payments. If any of those three apply, then we have the right that your membership reverts to the normal monthly applicable fee amount. There is no alternative to this offer.

The promotion of a discount rate per month will remain for the duration of your valid membership. If you freeze, cancel your direct debit, or cancel your membership then this offer will become invalid, and you will have to take out a new membership at the current prevailing rate.

A Joining fee (if applicable) and the first month’s membership fee are collected by us from you by debit/credit card payment on either the 1st or 15th of each month being the time are directed debit payments are collected.

Admission and fees

For all information on memberships and prices please visit igym.london or the main reception of the Centre.

Those admitted to the centre are only admitted on the basis they will observe these rules. There is no re-admission without the required payment. All fees must be paid prior to commencing use of the facility.

All persons entering the centre must purchase the appropriate ticket or produce a current and active membership card.

Customers who are eligible for a concessionary rate must show relevant supporting evidence when required, in particular Imperial staff and students.

All tickets including membership cards must be retained, produced, or surrendered by the Manager or Duty Manager on demand.

Any complimentary tickets issued by the Centre, are issued without prejudice and the issue of such tickets does not represent an admission of liability.

The Appointed Leisure Management Partner reserves the right to refuse admission or to remove from the centre any user without stating any reason therefore and a user shall at any time comply with all reasonable instructions and requests of the manager to carry out and observe all instructions relating to the use of the centre and conduct therein which may from time to time be published by notice on the premises or otherwise

All members must use their own membership card at all times within the centre and swipe it to validate their visit/participation in each activity.

It is a member’s responsibility to keep safe their personal membership card, should it be lost, stolen or misplaced the member must purchase a replacement from the main reception at a fee of £5. No member will be allowed admittance into the centre without a valid membership card.

Membership

Your membership is only valid at iGym Victoria Road, Acton, London W3 6BL.

Imperial Student cash membership runs for the period of the academic year September to August inclusive. your membership will end at the end of each August in that academic year irrespective of when you join the student membership during the academic year.

There are no refunds for any cash memberships.

If you wish to terminate you MUST contact us no later than 30 days before your direct debit payment is due & then contact your bank to give advance notice that you wish to cancel the direct debit. It is your responsibility to ensure you cancel the direct debit with your bank.

Your membership commences from date of purchase, you are responsible for contacting the centre to arrange your induction.
If we cease to work the centre due to its sale or transfer, your Membership of the centre will (unless otherwise notified to you) continue to be valid.

Please inform the centre in writing of any changes in your name, address, telephone number, email address. We may terminate your Membership in the following situations and with the following notice periods:

without notice if you repeatedly or seriously break the centre, rules.

No refunds on upfront/cash memberships such as annual memberships.

Imperial Student membership

Students at Imperial College London benefit from an inclusive membership subsidised by the University. The membership requires an annual payment of £40.

The membership expires every August 31st no matter when you join in the year.

Freezing of Gym Membership

If you are unable to use the Centre facilities for any reason you may suspend your Membership. You must however have completed three full months as a member to qualify for suspension. You may suspend for a minimum of one month to a maximum of three months within any period of 12 consecutive months. 2 weeks’ notice prior to your next direct debit date is required. You are limited to a maximum of 3 months freeze in total in any 12-month period. The cost is £5 per month.

Freezing memberships are only available to members on a direct debit membership and cannot be used on cash memberships.

Cancellation of Membership

If you wish to cancel your membership, you must give 30 days’ notice prior to your next direct debit date by email.

Please note you will be required to pay your notice period at the time of cancellation, unless a cancellation fee was paid during sign up to a promotional offer. Cancelling your direct debit but not giving notice will not cancel your membership. Should you have any queries regarding cancellations please contact the iGym management team at manager@igym.london.

Your Membership Card

On joining the centre, you will be issued a Membership card. Each time you visit this centre you must show this card to staff at the reception and or swipe in at one of the available kiosks.

Membership is personal to you, and it cannot be assigned or transferred to another person. As such, you may not lend your Membership card to anyone else or allow the card to be used by anyone else. If you lend your Membership card to another person, then we may terminate your Membership.

If you wish to enter the centre without a valid Membership card, we reserve the right to refuse admission if you cannot provide alternative satisfactory proof of identity. We also reserve the right to refuse admission if you repeatedly fail to bring your Membership card.

If you lose your membership card you may purchase a new one at the club, to do this you will be required to present proof of address/identity.

Health and Safety

All personal property is a user’s responsibility and must be safely stored and locked in the lockers provided. Strictly no personal property is allowed unattended in changing rooms or poolside.

All accidents must be reported to the manager immediately.

If your circumstances change at any time; that may inadvertently affect your safety when using the facilities, please let a member of staff know immediately.

For your safety some facilities and activities within the centre operate age restrictions.

Facilities and services

The opening times of the Centre are Monday – Thursday 06.00 – 22.00, Friday 06.00 – 20.30 and Saturday – Sunday 09.00 – 20.00.

The Appointed Leisure Management Partner reserves the right to alter, amend or cancel admission charges, availability of facilities, access to facilities, timing of activities and classes at any time and without notice.

All users must respect all equipment, facilities, furniture, fittings, apparatus and building infrastructure at all times. A user shall pay to the Centre on demand the cost of any damage caused. The Manager’s decision is final.

Users should observe single sex change and toilet facilities using this appropriate to their gender at all times.

Disabled facilities have been provided for strict use only by the disabled user and their carer and family.

Fitness suite

Only adults aged 16 years or over are permitted to use the gym

All gym users must complete a medical questionnaire and participate in an induction with one of our fitness instructors prior to using/visiting the gym

Equipment will only work with a valid membership card

Please wipe down the machines with a towel after use. Please ensure all equipment is returned safely to its original location.

We respectfully ask users to wear clean sports kit and appropriate footwear, please refrain from using outdoor footwear in the gym.

Users are advised to alert gym staff if they have any medical conditions that may affect your ability to exercise or if your health changes throughout your membership at iGym.

Classes

Users/members of classes must wait outside the studio until invited in by the instructor and be available 5 minutes before the class commences. Once the class has started there will be no further admission.

All classes must be pre-booked via our online booking system or via the main reception. No shows or cancellations less than 4 hours before the class commences will incur a charge.

We aim to provide a balanced and varied programme of classes each week subject to availability and viability. Please note classes may be cancelled or suspended without notice at Management’s discretion.

All classes must be pre-booked via our online booking system or via the main reception. All participants must bring their ticket to the instructor at the beginning of the class.

General

For your security lockers have been provided they operate with a padlock. Padlocks can be purchased from reception.

All users must respect each other when using the facilities. Any foul and abusive language and anti-social behaviour will not be tolerated. Users who disregard the above and affect the enjoyment of the centre by others will be removed from the centre immediately.

We offer lockers facilities for all belongings to be left during a members visit our gym; we do not allow any bags to be left or carried on to the gym floor or pool side to avoid any hazards.

The public address system cannot be used for personal calls at any time

Users wishing to make a complaint or a useful suggestion to the operational best practice of the centre must complete a customer feedback form located at the main reception. All formal complaints must be made directly to the Manager in writing.

The Manager reserves the right to dispose of any item of non-valuable lost property not claimed after two weeks. Valuable lost property will be disposed of after 3 months.

Appropriate clothing must be worn at all times, relating to the activity/facility you are participating within.

The centre has a strict no smoking policy.

No animals are allowed in the Centre with the exception of dogs assisting the disabled.

We reserve the right to refuse admission or ask you to leave the Centre if we reasonably believe you or your guest is in breach of any section of these rules.

The decision of the Manager on every occasion is final.

We have the right to refuse your application for membership.

If joining upon the pre-opening special offer, we offer a 14-day money back guarantee from the date of opening.

Not complying with our rules can lead to the termination of your membership.
